How it works

The path from delivery to proof.

Five stages, in the order you would meet them. No evaluation background required.

Two men outdoors at a community food bank hand over a cardboard box of tinned goods, with gazebos, tables and other volunteers sorting crates behind them.

It fits around delivery

The five stages below follow the shape of the work you already do. Set up once. Capture as you go. Report when someone asks.

Nothing here asks you to stop and learn a methodology first.

Five steps, one loop

The whole cycle, end to end

Five step process from delivery to proof
  1. Stage 1

    Set up your organisation

You describe your organisation: what you do, how you work with people, what you believe makes the difference.

In your language. Not picked from someone else's list. Everything that follows sits on top of it.

  2. Stage 2

Define your outcomes in your own words

You set out what you are trying to change, the way you'd say it to a colleague or a trustee. If you want a structure to think it through first, our theory of change template walks through it.

Outside frameworks, a grant form, a contract specification, a board template, map onto those outcomes later, when a report needs them. They never replace your own definitions.

  3. Stage 3

    Capture evidence as you deliver

After a session, you record what happened while it is fresh, a note, a photo, attendance, a piece of feedback.

Each record attaches to the outcome it speaks to. Nothing has to be sorted out again months later.

  4. Stage 4

Watch evidence build against those outcomes

You can see which outcomes are well evidenced and which are thin, while there is still time to fill the gaps.

Where there is not enough yet, ImpactProof says so plainly rather than producing a confident number.

  5. Stage 5

Generate a report for whoever is asking

When someone wants a report, a board, a funder, a commissioner, your members, or you yourself, you build it from the evidence you already hold. It helps to know what a funder is really assessing before you write it.

Every figure traces back to the records behind it, with response coverage stated. The reader can check rather than take your word for it.

You send the report yourself. ImpactProof shares nothing with anyone on your behalf.

See it on your own work

Pilot organisations get personal onboarding. Setup is done alongside someone from the team, not left to you.
